Intro

As an employee of a design agency and a proponent of automation and simplification, I noticed the inefficiency of our existing salary calculation system. Regular payroll was calculated manually, prolonging the process and increasing costs. The initial workflow was as follows: an employee tracks time in a specific time tracker → sends it to the manager for review → the manager reviews and approves it → the manager forwards the hours to the accountant → the accountant refers to the payment methods table → processes the payment. I delved into this topic to find an effective way to streamline this workflow.

After studying the time tracker API (Toggl), I proposed creating a payment table to help users navigate invoice dates and track the amount of time they worked. Additionally, a separate page was developed for users to select their preferred payment methods.

Employees need to specify the dates for which they want to calculate their salary when creating a request. The system then accesses the Toggl API to retrieve the number of hours worked, which is used to calculate the salary (number of hours * hourly rate). Employees can visually monitor the process of generating the invoice.

After the invoice is created, it is sent to the manager for review. The manager verifies the accuracy of the time logs and, with a single click, forwards it to the accountant for payment. Human involvement is minimized, reducing the potential for errors.
